Which exports PULSE needs, what formats it reads, how to upload them, what PULSE does with each file, and who can see what once it is in.

The exports to pull

Export each file as it comes out of your system. You do not need to rename or reorder columns: PULSE proposes the match and you confirm it once per source.

  • Students with their IEP services: one row per service, with the student’s local ID, name, grade, school, the service, its minutes, frequency and cycle, the provider role, and the IEP dates. An Aspen X2 services export works as it is.
  • Staff: one row per person, with an employee ID, name (one full-name column, or first and last), work email, position, school and FTE.
  • Schedules: provider or school schedules, as spreadsheets. See the Add schedules guide.
  • Caseload lists, if your principals keep them: any format. See “Caseload lists”.

Accepted formats

  • Student and staff files for Data Import: CSV. Save an Excel export as CSV first.
  • Schedules: Excel, CSV or text. PDFs and photos only if your district has turned on document reading.
  • Caseload lists: Word, Excel, CSV, PDF or a photo.
  • Documents (storage for the district’s own files): any format up to 100 MB.

What PULSE does with a file

PULSE reads the columns you confirm and discards the rest at the door; they are never stored. It keeps what it extracts, not the file: every uploaded file is deleted within 30 days, and most are deleted as soon as their job is done. Nothing is written until someone presses Commit, and PULSE never removes a student or a service on its own.

Who can see what

District administrators see everything, including student IDs. Staff who serve a student see that student without IDs. The full rules are in “Who sees what”.

Step by step

  1. Open Data ImportSign in and open Data Import. Your role needs to be a district or school administrator; a Document Uploader seat can upload to Documents but not import.
  2. Choose the file and say what it isChoose the CSV, pick “Students + services” or “Staff”, give the source a short name, and press “Propose mapping”.
  3. Check the matchEach PULSE field shows the column PULSE proposes and a few values from your file. High-confidence matches are filled in; anything marked “choose” needs you. When a staff file splits first and last names, PULSE proposes the two combined.Below the match, PULSE reads the whole file and says how many rows will load and what, if anything, needs a note.
  4. Preview, answer, then commitThe preview says what committing will do before anything is written. If a value in the file names a role PULSE does not recognize, PULSE asks once and remembers the answer for every later file from this source. Then press “Commit to PULSE”.
